Raymond Gray Limited (“Raymond Gray”, “we”, “us”) provides integrated facility management services and operates this website and the secure client, technician, and administrator portal (together, the “Service”). This policy explains what personal information we collect, how we use it, and the choices you have. We are based in Accra, Ghana.

1. Information we collect

Account information — when you register or sign in (including via Google), we receive your name, email address, and, for Google sign-in, your profile image and basic profile details. Technicians and staff accounts may include role and specialty.
Service information — details you submit through enquiries, discovery and pre-mobilisation forms, service and vehicle bookings, and content related to facilities, equipment, tasks, and reports.
Location data — where you provide it (for example, a job site or, for technicians, live location while a job is in progress) to coordinate and dispatch service.
Technical and usage data — IP address, device and browser information, and interactions with the Service, collected to operate, secure, and improve it.

2. How we use information

To create and manage accounts and authenticate sign-in.
To deliver, schedule, dispatch, and report on facility management services you request.
To communicate with you about enquiries, bookings, and account or service notices.
To secure the Service, prevent abuse, and meet legal and contractual obligations.

3. Service providers

We share information only as needed with processors who help us run the Service, under appropriate safeguards: Supabase (authentication, database, storage, real-time), Google (sign-in, where you choose it), Resend(transactional email), Vercel (hosting/analytics), and Neon(database backup). We do not sell your personal information.

4. Data retention

We keep personal information for as long as your account is active or as needed to provide the Service, then for the period required to meet legal, accounting, or reporting obligations, after which it is deleted or anonymised.

5. Security

Access is protected by authenticated accounts, role-based access controls, database row-level security, and encryption in transit. No method of transmission or storage is completely secure, but we work to protect your information using industry-standard measures.

6. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal information, and you may withdraw consent or object to certain processing. To make a request, contact us at the address below.

7. Cookies

We use strictly necessary cookies to keep you signed in and to operate the Service, and limited analytics to understand usage. You can control cookies through your browser settings.

8. Children

The Service is intended for businesses and adults; it is not directed to children under 18.
